Guidelines for Oral Presentation

Methods of Oral Presentations

There are three ways to make a presentation. Please refer to the image below. We ask for your understanding and cooperation in order to prevent new corona infections and computer virus infections.

Method1:On-site Talk(Recommended)

  • Please upload your presentation file to Dropbox. The first deadline for the upload is June 4th. The file uploaded by that date will be checked if it works well. Uploads after that will be possible until June 9th (Wednesday), but we may not check it. PowerPoint, PDF, and MP4 format files are acceptable.
  • Your presentation file in the Dropbox is opened and shared in the Zoom using the PC set in the venue (files will be opened by operation staffs on your behalf).
  • If it is difficult to give a presentation on Zoom sharing via Dropbox due to internet conditions, we may switch to a presentation using a file saved as a backup on the PC set in the venue.
  • OS of the PC set in the venue is Windows 10, and PowerPoint version is 2019.
  • The presenter will operate with a clicker function of a laser pointer.
  • Operation staffs are in charge of granting operation rights and assisting in video play.

Method2:On-site Talk(with your own PC)

  • If you cannot upload the presentation file in time, you will be asked to make a presentation using your PC.
  • You will be asked to connect your PC to a wired LAN set in the venue and make a presentation on Zoom sharing.
  • You will be asked to operate the PC yourself. Please take responsibility for the operation.

Method3:Online Talk(with your own PC)

  • You will be asked to make a presentation using your PC connected online from outside the venue.
  • Although you can use a presentation file on your own PC, we recommend you to use a file uploaded in Dropbox as much as possible to avoid a risk of trouble of the internet connection. The first deadline for uploading to Dropbox is June 4th (desirable), and the final deadline is June 9th (Wednesday). PowerPoint, PDF, and MP4 format files are acceptable.
  • When you use the file uploaded to Dropbox, operation staffs will open and share your presentation file on your behalf. Operation staffs are in charge of granting operation rights and assisting in video play.
  • When you use the file on your own PC, you are asked to make a presentation on Zoom sharing by yourself.
  • When it is difficult to give a presentation on Zoom sharing via Dropbox due to internet connection troubles, we may switch to a presentation using a file saved as a backup on the PC set in the venue. If you did not uploaded the file to Dropbox, we cannot prepare the backup on the PC set in the venue.

How to upload presentation files to the Dropbox folder

We will prepare a shared folder for each speaker in Dropbox. The shared folder is named as “lecture number_speaker name”. We'll send an invitation email about the shared folder. The invitation email will be sent in mid-May. When you receive the invitation email, please upload your presentation file to the shared folder. PowerPoint, PDF, and MP4 format files are acceptable.

■Procedure to upload presentation files to a folder in Dropbox

  1. Prepare and save a presentation file name as "lecture number_speaker name". Please check virus infection of the save destination folder just in case.
  2. "第77回学術講演会講演ファイル担当 (via Dropbox)" 〈no-reply@dropbox.com〉 will send you the following email. All are in Japanese. The scheduled delivery time is mid-May.

  3. Click the URL surrounded by red in the above figure to open the shared folder in Dropbox as shown below. Upload the file by either ② or ②'.

■How to prepare a video file for presentation

The presentation can be pre-recorded as a video with audio. For speakers who wish to give a talk using a video file, we have prepared documents about how to create a video file, so those can prepare a video presentation file and upload it to the Dropbox folder.

■About presentation files you uploaded

  1. Uploaded presentation files will not be used for any purpose other than your presentation in the 77th JSM annual meeting and will be deleted immediately after the meeting.

■About Zoom room for online presentation

  1. The URL for entering the Zoom room for online participation will be sent to each speaker by e-mail in early June. The email subject is "日本顕微鏡学会第77回学術講演会【〇会場】のパネリスト" and the email sender is 〈no-reply@zoom.us〉.
  2. 2. In the above e-mail, we will ask you whether to participate on-site or online, so please cooperate with the survey.

■Other remarks

  1. When giving a presentation using your own PC, we will only support presentations on Zoom sharing via a wired LAN. To connect your PC directly to the projector is not allowed in principle. However, only when it is difficult to give a presentation via Zoom sharing with a wired LAN due to internet conditions, you may be asked to make a presentation by connecting your PC directly to the projector.
  2. For files created on Macintosh, please make sure that they work properly on Windows 10. During the meeting period, rehearsal PCs will be prepared next to the reception desk of the venue, so you can check the operation there.
  3. Please enter the meeting room at least 10 minutes before the start of the session in which you present.
